Responsibilities
Introduction to role:
This role is based in Barcelona, with an on-site commitment of three days a week. Fluency in English is required.

As a Drug Project Coordinator within our Global Early Oncology team, you will play a pivotal role in supporting drug project teams and driving innovative medicines through the development process. Accountabilities:
Project Team Support within GPPM
- Provide administration support to cross-functional project teams and non-drug project teams in close collaboration with Global Project Managers.
- Provide project support and administration to cross-functional project teams and non-drug project teams on request from Global Project Managers.
- Information management (e.g. SharePoint management, Teams management etc) according to standard methodologies for project teams.
- Advance data-focused decision capabilities by optimising portfolio data, standards and analytics through PLANIT and SharePoint data quality.
- Lead and coordinate logistics relating to face-to-face GPPM oncology and GPPM early oncology meetings/events.
- Governance presentation review logistics and management
Project Coordination Support:
- Specific Cross-functional Global Project Team Coordination and Delivery (under supervision of Global Project manager).
- May work with the Global Product Manager to resolve issues and facilitate cross-functional activities where project coordination is required.
- May coordinate cross-functional team meetings.
- Chip in to creating an efficient and high performing team, and good cross-team collaboration.
- May support project management processes such as risk management, Project Memory, etc.
- With use of technology may support drafting of drug and non-drug project meeting minutes.
- May help to generate budget reports, to enable the Global Product Manager to highlight deviations to ensure projects align with governance approved budget.
- May supply and help to the assembly of the appropriate governance presentations that allow timely and efficient decision making.
- Lead and coordinate logistics relating to F2F meetings for projects.
- Independently manage and close out low complexity terminated drug projects.
- Proactively co-ordinate and connect with fellow DPCs/team members to ensure seamless DPC support.
Continuous Team Improvement:
- Independently and pro-actively resolve administrative issues and challenges.
- Use business understanding to contribute and propose improvements to existing processes within the scope of the role.
- Take responsibility for the deployment of new processes within the team and act as a role model providing guidance and on-the-job coaching to team members.
- Maintain and develop expertise in appropriate IT and AI systems to ensure efficient use and provide expertise and support to resolve time-consuming queries, including coaching and training of team members to execute the solution.
Essential Skills/Experience:
- Significant relevant administrative experience with confirmed career progression.
- Experience working in a fast-paced global environment balancing challenging priorities.
- Experience providing high quality, professional support service, working proactively and independently without day-to-day direction.
- Ability to format documents for consistent, professional appearance and experience handling critical information in a confidential and discrete manner.
- Excellent organisation skills and the ability to lead multiple projects or tasks simultaneously and efficiently, identifying high priority and urgent tasks for immediate action so that all activities are completed accurately and on time.
- Demonstrate flexibility and adaptability to meet changing business demands.
- Showed talent with a variety of virtual meeting technologies, Generative AI tools, information management software, and Microsoft products.
Desirable Skills/Experience:
- Experience of working in a pharma or healthcare environment.
- Experience working with project management and/or in support of drug project teams.
- Experience of data and information management e.g. manipulating, interpreting and presenting.
- Experience running SharePoint Online sites including creating and handling permission groups, creating new sites, and adding design elements.
- Experience in developing and leading peer-to-peer training.
- A high degree of personal credibility when collaborating with organisations internal and external to AZ.
